instructional purposes. We do not sell, advertise against,
or commercially exploit any user data. All records are
encrypted in transit and at rest.
1. Who We Are
ASQscholar is a learning management system operated for use
by higher education institutions. This Privacy Policy explains
what data we collect, how it is used, and how it is protected.

2. Data We Collect
We collect only the data necessary to operate the Platform:
- Account data: Full name, email address,
phone number, gender, university, department, city,
and institutional role
- Academic data: Course enrolments,
assessment submissions, grades, rubric evaluations,
and learning outcome attainment records
- Activity data: Login timestamps,
assessment attempt logs, IP addresses, and browser
session data used for exam integrity and audit purposes
- AI interaction data: Faculty-provided
syllabus context and course instructions used to
configure AI drafting tools — not stored beyond the
active session unless explicitly saved by the faculty
member
3. How We Use Your Data
Data collected is used exclusively for:
- Delivering course content, assessments, and grading
workflows to enrolled students and faculty
- Generating CLO/SLO attainment reports for institutional
and accreditation review
- Maintaining exam integrity through attempt logging
and audit trails
- Platform security, fraud prevention, and account
authentication
- Communicating service updates and account notifications
We do not use student or faculty data for advertising,
profiling, commercial analytics, or any purpose unrelated
to instructional operations.
4. Student Education Records
ASQscholar treats all student academic records as
confidential education records consistent with the principles
of FERPA (Family Educational Rights and Privacy Act) and
equivalent data protection frameworks applicable to higher
education institutions. Specifically:
- Student grade records are accessible only to the
faculty member responsible for the course and
designated department administrators
- No student record is disclosed to any third party
without the written authorisation of the institution
- AI-generated grades and feedback are never published
to student records without explicit faculty approval
- Institutions may request a data processing agreement
(DPA) by contacting

5. Data Storage & Security
- All data is encrypted in transit using TLS 1.2 or
higher
- Data at rest is encrypted at the database level
- Access to production data is restricted to
authorised platform administrators
- Audit logs of all record access are maintained and
available to institutional administrators upon request
6. Data Retention
Account and academic records are retained for the duration
of an active institutional relationship. Upon account closure
or institutional offboarding, faculty may request a full data
export within 30 days. Records are securely deleted within
90 days of a confirmed deletion request unless retention is
required by law.
7. Third-Party Services
ASQscholar uses the following limited third-party services
in its operation:
- Google reCAPTCHA v3 — used on the
registration form to prevent automated account creation.
Subject to
Google's Privacy Policy
No student academic data is transmitted to any third-party
advertising, analytics, or tracking service.
8. Your Rights
Faculty members and students may at any time:
- Request a copy of their personal data held by
ASQscholar
- Request correction of inaccurate personal information
- Request deletion of their account and associated
personal data, subject to institutional record
retention requirements

to registered users by email at least 14 days before they take
