Privacy policy

Who we are

ASQScholar is a teaching and assessment platform used by universities. It runs as a website and as mobile apps for students and teachers. Your institution decides which courses, classes and assessments you see. This policy explains what data the platform holds about you, why it holds it, who else can see it, and how you can have it removed.

What we collect

Account data

Your name, email address and role. Depending on what you or your institution enter, this can also include a phone number, gender, father's name, university, department, city, programme, batch, semester, roll number, national ID number and a profile photo. If you sign in with Google, we store the Google account identifier that links to your ASQScholar account, and the date you linked it.

Academic data

Your enrolments, quiz and exam attempts and answers, assignment submissions and any files you upload with them, marks and grades, teacher feedback, attendance records, notes you write in the app, and messages you send to teachers through the platform.

Usage and activity data

We record activity such as opening a lecture, viewing a result, reading feedback and reading comments. This is how participation credit and engagement reporting are worked out, so your teacher can see who is taking part. Each record carries a timestamp, the browser or app identifier, and the IP address of the request. Login times are also recorded.

Exam integrity data

During a supervised online exam the platform can log events such as leaving fullscreen, switching tabs or losing window focus, together with the time, IP address and browser identifier. Your institution decides whether this logging is switched on. These records are kept for a limited period and then deleted automatically.

Device data for notifications

If you use a mobile app and allow notifications, we store the notification registration token issued to that installation, the platform name (for example Android), a device name and the app version, so a notification can reach the right device. Signing out of the app removes that registration. You can also turn notifications off in your device settings.

How we use it

• To run courses, deliver assessments, and record and report marks.
• To show teachers and coordinators who is taking part in a class.
• To produce learning-outcome and accreditation reports for your institution.
• To keep exams fair, and to investigate suspected misconduct.
• To sign you in, keep your account secure, and send you service notifications.

We do not sell your data. We do not show advertising and we do not build advertising or marketing profiles.

Artificial intelligence

To help teachers mark faster, the platform can send the text of a student submission, the question and the marking rubric to a third-party AI service, which returns a suggested mark and comments. The platform can also check writing for signs of AI-generated text. The AI services that may be used are OpenAI, DeepSeek, Z.AI, Anthropic, Google Gemini, xAI and Perplexity; which one is used depends on the settings your institution or teacher chooses.

An AI suggestion is never a final mark on its own. A teacher reviews and can change every AI-assisted result before it counts. We send these requests through the providers' business interfaces, for evaluation only. Each provider handles the data it receives under its own terms, which we do not control.

Who else sees your data

• Your teachers, class coordinators and your institution's administrators, for the classes you belong to.
• Platform administrators, for support and maintenance.
• Google Firebase Cloud Messaging, which delivers push notifications to your device.
• Google, if you choose to sign in with a Google account.
• The AI providers named above, for the submissions they are asked to evaluate.
• File storage providers that hold uploaded files for the platform.

We disclose data to nobody else unless the law requires it.

How long we keep it

Academic records are institutional records. Your university has to keep marks, attempts, attendance and enrolment history for its own examination and accreditation rules, so those records are kept even after an account is closed. When we act on a deletion request we remove the personal identifiers from the account, so what remains is no longer labelled with your name, email address or other personal details. Exam integrity event logs are deleted automatically after the retention period your institution sets.

Your rights and how to delete your account

You can ask us to show you, correct, or delete the personal data we hold about you.

• In the mobile app: open Profile and choose to request account deletion. You can cancel the request from the same screen.
• On the web, including if you cannot sign in: https://asqscholar.com/account/deletion.
• By email: [email protected].

Every request opens a review period of 30 days. Your account keeps working during that period, and the request can be cancelled at any point in it. After the review period an administrator checks the request and processes it. Processing removes your name, email address, phone number, photo, national ID number, roll number and any linked Google identity from your account record, deletes your notification registrations and app sign-in tokens, and blocks the account from being used to sign in. Academic records are kept, as described above.

Children

ASQScholar is provided to universities for higher-education students. It is not intended for children.

If we change this policy in a way that matters to you, we will publish the new version on this page and update the date at the top.
